Hub Calculator

The calculator tool, provided below, identifies the required timeline needed in order to complete a grant proposal.

“Submission deadline date” is the deadline to submit the proposal to the sponsor who will provide funds to Northeastern University. If NU is a subaward, this is NOT the funding agency/prime sponsor’s deadline but the date the lead institution needs the proposal documents from NU.

For submissions without a firm due date or with a desired due date prior to the sponsor deadline, the desired submission date should be used when determining the proposal processing timeline. (Please note that desired due dates must be in compliance with the review timeline and “past due” dates are not allowable.)

Steps

Initial Notification/Initial Budget Request

  • Let your Hub Research Administrator know about the opportunity via email, cc’ing [email protected](and ADR email if desired) including as much of the following information as possible:

    • Link to funding opportunity/call for proposals (can take the shape of NOFA, FOA, BAA, solicitation, RFP, foundation guidelines, and more)
    • Project’s working title
    • Projected total award amount and period of performance
    • Whether you will require additional resources, cost-sharing, or a course buyout

Subrecipient Initial Notification

  • Send information for subrecipients (subawards/subcontracts) to your Hub Research Administrator
  • Please include the following information:

    • Subrecipient institution name
    • Subrecipient PI
    • Subrecipient contact information
    • Target cost ceiling
    • Please keep in mind most subaward institutions will have their own internal proposal deadlines (typically two weeks or more) that must be considered.
      Help us help you plan ahead: if you have this info earlier, share it with your NU-RES Hub Research Administrator!
  • BONUS: If you have not already, set up a meeting with Hub Research Administrator to review proposal requirements and crosswalk.

Budget Draft Complete

  • If proposal includes a cost-share or indirect cost waiver, budget needs to be drafted by this date to include with cost-share approval request.
  • Approval from Dean/Chair/Department Head must be requested in writing by this date.

Final Subrecipient Information

  • Confirm with Hub Research Administrator/Subrecipient PI that subrecipient proposal materials have been received and are accurate

Final Budget, Justification, and Draft Proposal/Statement of Work (SOW)

  • Finalize details on budget/justification, including providing consultant quotes, price documentation, and necessary approvals
  • If applicable, coordinate with Hub Research Administrator to secure unit approval on final budget

Final Documents for Submission

  • Submit all final proposal materials to Hub Research Administrator for upload to sponsor portal and/or the ePAWS record

What Happens Next?

When the Hub Research Administrator has received all final materials, they will review all materials for compliance with sponsor guidelines, institutional policy, and relevant state and/or federal regulations and will work with you to address any needed updates. They will then route the ePAWS record to NU-RES Grant Officer (link to contact page) for institutional review. This aligns with NU-RES Institutional Guidelines and the expectation that NU-RES Grant Officers will have 5 complete business days to complete a full review of all materials. Once your proposal has been approved for submission, the NU-RES Central Grant Officer will submit to the agency and forward relevant submission receipts.
